GENERAL TERMS AND CONDITIONS
  1. Okavango Scenic Flights offers a non-scheduled Charter service and NOT a scheduled service. Therefore, times and routes may vary from day-to-day depending on actual bookings.
  2. All departure times are subject to change.
  3. Guests booked on flights, are not guaranteed to be on the same aircraft.
  4. There may be up to 4 stops en-route to and from camps.
  5. If booked on a seat rate basis, guests will be sharing the usage of the aircraft with other passengers.
  6. Okavango Scenics will do everything possible to assist families/groups together, subject to operational requirements.
  7. Aircraft landing and/or departing may be delayed due to animals obstructing the runway.
  8. Maun International Airport is one of the busiest airports in the Southern Hemisphere. As such we may incur Air Traffic Control and Fuel uplift delays due to aircraft congestion.
  9. Transport between game lodge airstrips and the actual lodges will be provided by the lodge. We constantly update the lodge staff with all flight details so that they are well prepared for our guests’ arrival.
  10. Confirmed bookings are subject to automatic release if passengers’ full names, ID and weight is not received at time of confirmation.
  11. We reserve the right to include technical stops en-route due to operating conditions at the time, which is in the interest of safety and at the sole discretion of the Pilot in Command.
  12. Smoking is not permitted on any of our flights.
  13. Okavango Scenics will not be held responsible or liable should incoming/connecting flights be missed/delayed, resulting in passengers missing their connection to the bush or onward flights. We will however endeavour to assist passengers on a later departure from/to the bush, but this is subject to seat and fligh availability.
  14. We cannot be held liable or responsible for any delays due to weather, ATC or technical delays. We will rectify the situation to the best of our ability.
  15. In the event of bad weather (low cloud or water-logged runways), Okavango Scenics reserves the right to drop-off clients “at the nearest suitable and serviceable airstrip”. This might mean a road transfer for guests to get to their destination. However, this road transfer will not be for Okavango Scenics account, but will be for the guests’ account. Such diversions will only be done in the interest of safety and when weather and/or runway conditions are not suitable to land at your original destination.
  16. Okavango Scenics cannot be held liable or responsible for any delays due to weather, resulting in missed international flight connections when returning from any camp or lodge.
  17. Children are classified as ages 2 – 11 years and as such require their own seat and seat belt. Infants are under the age of 24 months and do not require their own seat belts.
  18. Travel Insurance is advisable.
  19. Okavango Scenics will not be held liable for any additional costs incurred due to a runway closure.
  20. All flights are operated by Okavango Scenics. However, from time to time there may be a need to sub-contract the services of another Air Charter Company for various reasons (e.g. peak times, aircraft technical issues, weather etc.)
BAGGAGE RESTRICTIONS
  1. All passengers travelling on our Okavango Scenics flights are entitled to one free piece of checked luggage and one small carry on item;

  3. The type of bag allowed is smaller than a typical airliner as a result of the environment within which we operate and therefore the aircraft are smaller, which results in weight and size limitations for luggage;

  4. The Okavango Scenics luggage specifications are as follows:

  5. Soft (all sides) luggage/duffel bags with no rigid sides or wheels;
  6. Maximum total luggage weight is 20kg (44lbs) per passenger including checked and hand luggage.
    1. Maximum hand luggage is 5kg (11lbs) (1 piece allowed) which is part of the 20kg (44lbs) total luggage limitation.
    2. Maximum checked luggage size is 30cm (12 inches) wide x 35cm (14 inches) high x 70cm (28 inches) long.
    3. No hard-shelled luggage is permitted.
  7. Should your luggage exceed the above limitations and we are not able to fit it on the aircraft, we may be able to provide a complimentary luggage storing facility.
  8. If excess luggage needs to be transferred from Maun to another destination or vice versa, this will be for the clients account (see below).
  9. Excess luggage always remains the responsibility of the affected passenger.
  10. Oversized bags cannot be carried on your lap. Your safety is key to our operation and unsecured objects inside the cabin are hazardous.
  11. To accommodate additional luggage on our flights please book and pay for an additional seat in advance of any of our flights. If this has not been pre-booked, a seat may not be an available option on the day of departure.
  12. The extra seat will allow for an extra 30kgs of luggage allowance and this extra luggage must in all cases still meet the Maximum Luggage Size Restrictions.
MEET AND GREET SERVICE

We provide a complimentary meet & greet service to all our passengers upon arrival at Maun International Airport, please note the following regarding this service:

  1. Okavango Scenics offers this service on a complimentary basis to passengers; We meet passengers in the arrivals hall once they have cleared customs and immigration.
  2. We offer this service for all passengers arriving on any scheduled flight, provided we receive the flight information 72 hours before departure.
  3. We cannot be held liable should the passengers miss our representatives when they come through arrivals. We will endeavour to be waiting for them at the most visible point as they arrive.
CANCELLATION POLICY
  1. If a booking is cancelled more than 7 days prior to departure date a full refund less a cancellation administration fee of USD30 will be paid.
  2. A cancellation received anytime from 7 days to 48 hours prior to the departure date will incur a 50% cancellation fee.
  3. A cancellation received less than 48 hours prior to departure will cost 100% of the total fare.
  4. Should there be extenuating circumstances that dictate the passenger’s cancellation we will review the charges.
PAYMENT AND CONFIRMATION
  1. To secure your reservation, ensure full payment has been received at the time of the booking.
  2. To secure reservations that have been made on account, please send us the reservation order number or your internal reference number to secure the reservation.
  3. A reservation can only be confirmed if all passenger details have been received in full.
  4. Due to the restrictions and size of our aircraft, please submit guests’ weight prior to confirming a reservation.
  5. Incomplete reservations will be discarded 14 days after reservation request has been received.
  6. Please ensure all passenger travel documents, passports, visas and any vaccination certificates are up to date and have been confirmed on the booking.
  7. It is the agent’s responsibility to ensure that all required passenger details have been submitted prior to confirming the reservation.
SAFETY

In order to make your flight on Okavango Scenics as safe as possible, please note that the following Dangerous Goods may not be carried on Okavango Scenics flights under any circumstances.

  1. Compressed Gases: Deeply refrigerated, flammable, non-flammable and poisonous gases (butane, oxygen, liquid nitrogen and aqualung cylinders).
  2. Corrosives: Acids, alkalis, wet cell batteries and mercury (as found in thermometers).
  3. Explosives: Munitions, fireworks and flares, hand guns and ammunition (including blank cartridges and pistol caps).
  4. Flammable liquids and solids: Lighter fuel, paints, thinners and firelighters (matches may be carried on the person).
  5. Radioactive materials
  6. Briefcases and attaché cases with installed alarm devices
  7. Oxidising materials: Bleaching powder and peroxides
  8. Poisons and Infectious Substances: Insecticides, weed-killers, live bacterial and viral materials.
  9. Other Dangerous Articles: Magnetised materials, offensive or irritating materials.

Medicines and toiletries in limited quantities, which are necessary or appropriate for the passenger during the journey, such as hairsprays, perfumes and medicines containing alcohol, may be carried. Many of these listed articles can be carried as air cargo, provided they are packed in accordance with cargo regulations and further information is available on request.

IMPORTANT REMINDERS

The Carriage of any Dangerous Goods, Articles or Substances on Okavango Scenics flights is strictly prohibited.
